Position Related
Ensure accurate, timely, and compliant processing of monthly payroll, employee final settlements, and expense claims; coordinate audits; maintain HRIS data integrity; generate management reports; and manage salary tax compliance in line with statutory regulations.
Goals
· Processing of Monthly Payroll.
· Processing of Final settlement of resigned employees.
· Processing of expense.
· Management reporting
Key responsibilities
1) Monthly Payroll Processing
Collect, validate, and reconcile payroll inputs (new hires, exits, allowances, deductions, overtime, leaves, benefits).
Run payroll calculations; perform variance analysis versus prior month; resolve exceptions.
Prepare payroll review packs and obtain approvals per governance & SOP.
Generate pay slips, handle employee payroll queries within SLA.
Prepare bank disbursement files and coordinate with Finance for funding and other approvals (as applicable).
Maintain payroll calendars, checklists, and SOPs.
2) Final Settlement (F&F)
Compute final dues (salary, pending allowances, leave encashment, gratuity/provident fund) payments.
Coordinate clearance with HR, IT, line manager, and Finance; ensure timely disbursement.
Document and archive settlement calculations and approvals.
3) Expense Claims Processing
Validate employee claims against policy (limits, documentation, approvals).
Route claims for reviewer/manager approval; post in payroll where relevant.
Prepare bank upload files and track fund replenishment from Finance.
Monitor TAT and escalate bottlenecks to meet one‑day turnaround goal.
4) Audit Coordination & Compliance
Act as focal person for internal/external audits: provide samples, reconciliations, and evidence.
Close audit observations with corrective/preventive actions; update controls and SOPs.
Ensure compliance with company policies, labor laws, and data protection requirements.
5) HRIS & Data Integrity
Maintain and update HRIS records (new joins, changes, exits) and ensure synchronization with payroll.
Perform periodic data quality checks; resolve mismatches between HRIS and payroll.
Support HRIS enhancements, workflows, and reporting.
6) Salary Tax (Pakistan)
Calculate salary tax per FBR rules; apply exemptions, rebates, and credits.
Manage monthly/quarterly and annual tax filings/returns, certificates, and reconciliations.
Handle tax queries from employees and coordinate with Finance/Tax for complex cases.
7) Management Reporting
Prepare monthly payroll dashboards: headcount, cost breakdowns, variances, benefits, and tax.
Track KPIs (accuracy, timeliness, audit findings, claim TAT).
Provide ad‑hoc analyses for leadership.
Eligibility Criteria
Experience 1 to 2 years in relevant field.
Skills:
Strong knowledge of Pakistan salary tax (FBR) and payroll statutory requirements.
Proficiency in Microsoft tools, specially MS Excel, and experience with HRIS/payroll systems.
Exposure to audit cycles and documentation.
Detail-oriented with strong numerical accuracy and control mindset.
Process-driven, with ability to meet tight deadlines.
Stakeholder management (HR, Finance, IT, Line Managers, Auditors).
Excellent communication and confidentiality.
Problem-solving and continuous improvement orientation.
Power BI or data visualization (nice to have).
Education: MBA/BBA in HR or Finance
